Marketing Automation Agency
A marketing automation agency builds the nurture, scoring and handoff logic between your campaigns and your CRM. OperStack builds the half most agencies skip: what happens when a contact replies, goes quiet, or should be removed from a sequence entirely. Most engagements take 3 to 6 weeks.

The stop rules are the job
Most marketing automation we inherit runs sequences competently and has no rule for stopping them. A contact books a call, speaks to a rep, and receives “still thinking it over?” two days later.
Every sequence needs three exits defined before it is built: the contact replied, the contact converted, the contact should be suppressed. Without them the automation actively damages conversations that were going well.
The state machine version of this is in the lead follow-up system.
Handoff on evidence, not on a number
Scoring is useful for ordering a queue and useless as a contract. Two contacts with the same score can fail for different reasons, and a sales lead cannot reasonably commit to accepting a number.
Define the handoff as facts: form completed with role identified, two content interactions in the last fourteen days, company in the target segment. Now a rejection can cite which fact was absent, and the argument becomes a fixable list rather than a dispute about quality.
The acceptance side is in MQL versus SQL.
Duplicates come from the sync
The marketing platform and the CRM each have their own idea of a contact. Without one stated deduplication key applied on both sides, the sync creates a second record every time an email address changes case or a form omits a field.
Then two sequences run against one person, and the reporting counts them twice, which inflates every downstream number.
Consent is evidence, not a checkbox
The requirement is not that a box was ticked. It is that you can retrieve, per contact, what they agreed to, when, and from which form version.
We build that as a stored record rather than a flag. Whether it satisfies your jurisdiction is a question for your counsel, and we will not pretend otherwise.
The report that survives a review
Opens and clicks diagnose a campaign. They do not survive a budget conversation.
The report that does joins campaign to pipeline at account level and reconciles against the revenue figure finance already recognises, with the unreconciled remainder shown rather than hidden. The method is in inbound lead attribution.
When you do not need an agency for this
If you run three sequences and they have stop rules, you are fine. The engagements that pay for themselves start with an inherited setup nobody has audited, where the first week finds sequences still running to lists built two years ago.
What the engagement covers
- Nurture sequences as a state machine, with explicit stop rules and re-entry conditions
- Handoff trigger to sales, defined as evidence rather than a score threshold
- Consent capture and evidence, stored on the record and retrievable per contact
- List hygiene: bounce handling, suppression, and a documented re-engagement rule
- Deduplication between marketing platform and CRM, on a stated key
- Reporting joined to pipeline, not stopping at opens and clicks
What you keep
- Sequence maps with stop rules, readable by someone who did not build them
- The consent model and where evidence lives, per contact
- A report joining campaign to pipeline that finance can check
What this does not cover
- Creative production, copywriting for campaigns, or media buying
- Compliance advice. We build consent capture; your counsel rules on sufficiency
- Platform licences, and we take no commission from any vendor
If one of these is the actual problem, say so on the audit call and we will point you somewhere better rather than sell you the wrong module.

Frequently asked questions
- What does a marketing automation agency actually build?
- Nurture logic, scoring, list hygiene, and the handoff into sales. The visible part is sequences. The part that decides whether it works is the stop rules and the handoff definition.
- What is the most common defect in existing setups?
- Sequences without stop rules. A contact replies to a rep, books a call, and still receives step four of a nurture on Thursday. It reads as carelessness to the customer and it is a configuration gap.
- Should marketing automation score leads?
- It can rank a queue. It should not be the handoff contract. Sales cannot commit to a number, so the trigger to hand over should be a set of facts, and the score can order what is already qualified.
- Which platform should we use?
- The one your CRM integrates with natively, in most cases. Cross-platform sync between a marketing tool and a CRM that do not know each other is the single largest source of duplicate contacts we see.
- How do we report this to finance?
- Join campaign to pipeline at account level and reconcile against the revenue figure finance recognises. Opens and clicks are diagnostics for the campaign, not evidence for a budget conversation.
